LaPrairie Works is looking to fill the role of Administrative Assistant .

Reporting to the Controller, the Administrative Assistant is responsible for a wide variety of clerical office duties in support of company administration. This includes coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls managing mail and courier services, providing administrative support to the Grimshaw office.

Roles and Responsibilities :

  • Provide reception and administrative support by answering phones, delivering and sending mail, and organizing/ordering office supplies,
  • Support with general data entry, as required
  • Aide Controller with entering J/V’s, matching, and entering AT extracts, maintaining transfer summaries, invoices, and job costing
  • Support payroll with entering timecards, sorting, and filing paperwork
  • Entering weekly equipment hours, matching NAPA invoices to WO/RO’s for Mechanical Administrator
  • Assist safety administration with filing, outside shops safety visits, training as needed
  • Support to General Manager and Superintendents with administrative tasks
  • General support to office staff when receptionist coverage is needed

Qualifications :

  • Business Administration Diploma, or an acceptable combination of education and experience.
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.
  • Strong knowledge of general office procedures.
  • Ability to compose draft correspondence, including memos, letters, etc.
  • Advance knowledge of Microsoft Office products, with a strong understanding of Excel.
  • Superior telephone manners and strong interpersonal skills.

Compensation will be commensurate with experience and education.
