TES is a small, construction equipment repair company with 10 employees including 7 mechanics. The genesis was the back shop/equipment manager for Arnott Construction Ltd. which remains the number one customer and owner. The number of new customers increased from ten to over 40 in eight months and continues to increase, mainly from word of mouth from satisfied customers. This position requires the incumbent to work from the Midhurst office and will report to the Service Manager.

Heavy Equipment Parts Coordinator

Key Responsibilities :

  • Orders parts for the service team, customers, and stock
  • Creates purchase orders and charges parts to work order or inventory
  • Requests parts; sources, orders, receives, ships and arranges pick-up of parts
  • Tracks incomplete order status (outstanding orders, backorders, credits, damages, warranties etc.) and follows-up as necessary. Expedites issues to the Service Manager as needed
  • Distributes parts or stocks on shelves upon receipt
  • erforms stocking duties; places stock ordered parts in appropriate locations
  • Maintains the stock order ratio; maintains the parts department clean, orderly, and well stocked
  • Uses reference materials, catalogs, etc. to source parts
  • Frequently follows-up with Service Manager, mechanics and vendors on parts status
  • Notifies the Service Manager of late parts deliveries where repair or service appointment(s) will not run to schedule so as the customer can be notified; this ensures optimum client service
  • Facilitates with the Service Manager in procuring alternate parts solutions when customers have been offered different options for repairs and/or services, as needed
  • Liaises with the Service Manager to ensure optimum efficiency and quality of service and customer satisfaction
  • Manages defective / incorrect parts returns to the vendor and monitors credit for the returns; ensures credits are processed accurately and promptly
  • Responsible for filtering parts out of the inventory stock shelf for technicians & mechanics use
  • Ensures the parts area cleanliness is maintained at all times
  • Completes and submits all paperwork (i.e. time sheets etc.)
  • Maintains a positive working relationship with team members and management in a team environment
  • Adheres to Governmental rules and regulations, such as WHMIS, pertaining to the safe storage, labeling, usage, handling and disposal of hazardous materials
  • Maintains an efficient and organized filing system for purchase orders, parts requisitions and work orders
  • Maintains complete knowledge of and complies with company and departmental policies, procedures and standards
  • Maintains client and company confidence by keeping information confidential and secure
  • Sets-up and organizes individual work area with designated supplies, forms and resource materials while maintaining cleanliness at all times

Qualifications :

  • Post-secondary education and/or certification in a related field
  • A minimum of 5 years’ experience in a similar or related field
  • Extensive knowledge of Heavy equipment parts and the ordering process in the construction industry
  • Experience working with multiple vendors
  • Excellent problem solving & conflict resolution skills
  • Strong verbal and written communication and interpersonal skills
  • Detail oriented & excellent organizational & multi-tasking skills
