Our client, a Canadian organisation in the field of finance/pension plans, is looking to hire a Senior Management Assistant for its downtown Montreal office. Advantages - Permanent position; - 37.5h/week; - 4 weeks; - RRSP - Insurance cover; - Hybrid (2 days remote and 3 days in the office - be flexible ); - Stable, human team; - Competitive salary scale between 85k$/year and 110k$/year, based on experience (12.5% bonus on salary); - Mobile phone paid; - Summer holiday (Friday PM off from QC Day to Labour Day); Responsibilities - Working in partnership with the person associated with the Office of the President and CEO; - Calendar management, encouraging proactive planning; - Important agenda management (meetings with Board members, external partners and internal parties); - Ability to prioritise requests, emails and meetings, using good judgement and understanding senior management's priorities; - Participate in the creation, revision and editing of communications on behalf of senior management and consolidate documents intended for the Board of Directors, the Executive Committee, etc. Management Committee, etc; - Travel management, organising and maximising attendance at meetings, attendance at external C.A. meetings and meeting logistics for senior management; - Supporting Senior Management and the Associate Office Manager to ensure the efficient day-to-day running of the office; - Act as a liaison with various internal stakeholders and interact with key external partners, as well as senior management (respond to calls and emails); - Complete expense reports, invoice processing, approvals such as compliance, gift declarations and expenses; Qualifications - Bachelor's degree or equivalent experience; 7 to 10 years' experience in a senior management assistant role or a similar relevant role; - Advanced knowledge of Teams, Outlook, Word, Concur and PowerPoint and an interest in and ability to adapt to new technologies and tools; - Experience in project management; - Fluent in English and French; - Ability to evolve in a fast-moving environment, demonstrating a high level of proactivity, agility and a sense of responsibility in all aspects of the role, including decision-making and meeting deadlines; - Ability to identify, analyze and solve complex administrative problems by analyzing risks and creating alternative solutions; - Ability to process large amounts of detailed information with great accuracy and attention to detail, using specific approaches and tools to verify results; - Excellent ability to prioritize and manage a wide range of competing responsibilities simultaneously; - Ability to handle sensitive and confidential information with the highest level of professionalism, discretion and good judgment in order to make appropriate decisions without supervision and in ambiguous circumstances; - Strong interpersonal skills, good listening skills, emotional intelligence and the ability to "read the room"; - Ability to communicate effectively and interact with senior management and represent senior management professionally both internally and externally; - Exceptional written and verbal communication skills; - Ability to build and maintain a strong network; - Excellent learning skills; - Demonstrates strong business acumen; - Flexibility; Summary Are you interested in this position?
