Job Summary:The Assistant, Professional Development is the primary support to the Joint Professional Development Committee (JPDC) and is responsible for the administration of professional development applications. This role administers all professional development activities, including reviewing applications, addressing anomalies, and reconciling expense claims related to the professional development fund. The incumbent provides information to employees including eligibility and funding allotment, application processes, rationale write-ups and funding avenues. The Assistant coordinates logistics for all Learning and Development Workshops, both virtual and in person, and provides administrative support for staff educational leaves and the tuition assistance program. The Assistant: Administers the professional development applications and ensures compliance with process outlined by the Joint Professional Development Committee. Reviews of professional development applications to ensure applications meet guidelines. Identifies and addresses anomalies in professional development applications by working with employees and Managers. Provides information about professional development processes to employees including information regarding professional development application processes, rationale write-ups, and funding avenues. Confirms professional development eligibility and funding allotment for employees. Processes approved applications; generates approval notices. Reconciles and processes accounts related to the professional development fund. Assists with creating and analyzing statistical professional development reports. Monitors outstanding professional development applications, contacts employees as necessary to clear out fiscal year end expenses. Responds to enquiries and processes expense claims in relation to the Training and Development Allowance. Provides administrative support for staff educational leaves and the tuition assistance program; provides information on the application process, updates forms, reviews, and compiles applications for committee review, sends approval memos, keeps record of progress reports. Builds and maintains staff educational leave spreadsheet to track budget and applicant information. Coordinates logistics for all Learning and Development workshops, both virtual and in person, including room booking and preparation, attendance lists, and procurement of presentation materials, and equipment as required. Tracks sabbatical eligibility, including deferrals. Maintains professional development filing system. Communicates in a respectful and professional manner with all members of the team, department, University community and external partners. Collaborates effectively as a team member, including sharing information, cross training, and interpersonal cooperation. Demonstrates respect for all members of the UFV community and proactively works to create an environment of inclusivity and accessibility. Engages in learning and activities related to actioning indigenization and understanding the impact of colonialism and the purpose of reconciliation. Participates in committees and project teams as required. Undertakes related duties as assigned, consistent with the job grade of the position. Qualifications: Completion of a two (2) year diploma in human resources. Two (2) years related experience. Strong written, interpersonal and communication skills. Ability to manage tight deadlines with a high degree of accuracy and attention to detail. Proficient in the use of spreadsheet, database management, word processing (MS Office Suite preferred), Banner and FAST. Proven ability to communicate effectively and to provide service to employees in a professional, respectful, positive, and courteous manner. Proven organizational skills and an ability to work independently with frequent interruptions.
