The Supervisor, Securities Transfer is responsible for overseeing the day-to-day operational functions, providing guidance and support while communicating company goals and deadlines to the team with strict adherence to policies and procedures as well as liaising between Securities Transfer and other internal or external parties.Job Responsibilities:Supervise, train, lead, mentor and develop team membersOversight of branch specific functions and dependencies such as mail and courier lodge, log and trackOperate two distinct record keeping systems which support the transactions of our shareholder clientsProcess transfers on both systems to register changes in ownership, while maintaining segregation of dutiesSupport and coordination for client financing and IPO closingsMonitor team performance, create and report on metricsDelegate tasks, set team goals and deadlinesOversight of department emailsLead, monitor and liaise with other branches on workflow completionHandle escalated matters from staff as well as internal and external partiesReview and update and build Desk Operating Procedures (DOP)Perform spot checks on work performed by the team validating strict adherence to Policies and Procedures (P&P)Monthly reporting on processing volume metrics for operationsPlan and execute Disaster Recovery and Business Continuity Plan protocolsPerform ongoing system testing as requiredAssist with compiling data required for regulatory filings and obligationsAct as backup to other branch leads, in an operational capacitySpecial Projects as required from Senior ManagementAttributes and Qualifications:Minimum 7 years’ experience in the financial or securities industryMinimum 3 year experience in a previous leadership rolesStrong experience in the securities industry as it relates to back-office administrationStrong interpersonal and communication skills, effectively communicating with peers, senior management, internal and external stakeholdersAbility to optimally coordinate and manage multiple initiatives simultaneouslyExperience overseeing training plans for staff within the departmentExperience analyzing staffing needs, employee development and goal settingExcellent computer skills - MS Office Suite and Google suite of products and other desktop applicationsA willingness and ability to adapt to a changing environment and responsibilitiesMust have a flexible schedule to work overtime as requiredCompletion of Canadian Securities Course and similar courses are preferred, but not essentialClient Service Orientation: develops and maintains positive relationships with internal and external clients.
