This role can be based out of any of our offices nationally.The National Coordinator, Administration is a national role; the incumbent will work closely with the Chief Administrative Officer on the management of the firm's administration function across the country and, in particular, coordinating and contributing to a range of major national and regional projects/initiatives. Providing additional support as required to other members of the National Administration team nationwide and various committees within the firm. This is a high-profile and hands-on position that requires the incumbent to be an extremely responsive, proactive and communicative individual. It would particularly suit someone currently working in a law firm with superior organizational, numeracy and project management skills who is keen to transition and pursue a career in law firm administration.Enthusiasm for the role and being a team player with a flexible attitude are more important than subject matter knowledge.Keys Responsibilities:Project Coordination Coordinates the day-to-day administration of national projects and initiatives being run by the National Administration team, including providing administrative, logistics and project-related support covering scheduling, boardroom booking, preparation of meeting agendas, circulating materials as required, communicating with relevant parties, travel arrangements and creating materials for presentations;Coordinates with the Administration team for updates regarding ongoing projects/initiatives; tracks developments and deadlines, project documentation and progress;Works with the Chief Administrative Officer to develop and manage project budgets, including assistance in tracking expenses, invoice payments and other project financial tasks;Assists the Chief Administrative Officer in providing strong administrative support to various committees, Executive Management and lawyers within the firm.Acts as the secretary of various committees and project teams, including attending regularly scheduled meetings/project workshops to record and transcribe actions.Acts as the central "hub" of the office of the Chief Administrative Officer, responding to inquiries as needed;Acts as the main point of contact with external consultants and suppliers;Coordinate requests and approvals for new hires for the national Administration team and compile job descriptions working closely with the Talent Services team; Monitors monthly team reports / action lists; compiles reports for the Chief Administrative Officer. Data, Budget and Expense Management Management and regular review of national departmental expenses;Works with the Chief Administrative Officer to prepare and review the department’s annual budget, tracking budget v actuals on a monthly basis and flagging any significant variances;Assists in the preparation of reports and spreadsheets for review by the Chief Administrative Officer;Maintenance of departmental database/filing. Miscellaneous Other tasks as required. What you'll bring: Community College Office diploma or Business Administration program plus ideally a minimum of one year's experience working in a professional services or legal environment;An equivalent combination of education, training and experience may be considered;Project management experience is an asset;Advanced MS Office skills, particularly Excel and PowerPoint;Proficiency in MS Project and/or Visio would be an asset;Ability and willingness to learn new software and technology quickly;Superior organizational, numeracy and project management skills.
