This opportunity is with our Good Shepherd - Finance and Administration

Reporting to the Manager of Finance, the Accounting Clerk demonstrates responsibility and enhances the dignity and quality of life of our clients, visitors and staff by being accountable for the daily accounting functions, in accordance with generally accepted accounting principles, to ensure compliance with internal and external audit requirements.

How You Will Make an Impact

  • To carry out all duties and responsibilities in accordance with the Mission and Values of Good Shepherd.

  • To provide a work ethic in leadership and role modelling of behaviours that demonstrates the Mission, Vision and Values of Good Shepherd.

  • To provide accurate and effective document preparation and records management relative to the AP/AR function in accordance with records retention procedures.

  • To pick up the agency post box mail and distribute

  • Prepare and process bank deposits and pick up cash withdrawals as directed

  • To sort donations, copy receipts and forward to fundraising department for processing

  • To monitor and order stationery supplies as needed

  • To monitor office equipment operations and place service requests as needed

  • Distribute financial instruments such as taxi chits, food vouchers, petty cash, etc. as directed

  • To ensure compliance with legislated regulations, agency guidelines and policies, including but not limited to:

  • Monitor adherence to established approval and control processes in accordance with policy

  • To process all daily accounts payable functions including but not limited to:

  • Assemble vendor invoices to be completed for payment and redirect as needed

  • Verify payable invoices have authorized approval and charge codes

  • Enter vendor invoice transactions for payment processing

  • Process trustee payment needs and maintain database records

  • To process weekly accounts payable functions including but not limited to:

  • Generate approved cheque runs and distribute payments authorized for release

  • Correspond with vendors and respond to inquiries as needed

  • Monitor vendor accounts to ensure payments are up to date

  • To process monthly accounts payable / receivable functions including but not limited to:

  • Process client billing invoices as directed

  • Verify vendor statements with system transactions and resolve discrepancies

  • To process all annual accounts payable/receivable functions including but not limited to:

  • Physical verification of program petty cash balances

  • Assist with audit support as necessary

  • Prepare files for archiving / file storage

  • Set up vendors fore-billing, print off e-billing invoices and get the necessary approval on invoices

  • Setting up vendors on EFT and preparing EFT

  • Entering depositsPerform any other duties related to the Good Shepherd as directed by the Manager of Finance or delegate.

What You'll Bring to Our Team

  • Minimum College Diploma and 2 years of experience in accounting disciplines
  • Excellent written and verbal communication, organizational and interpersonal skills.
  • Demonstrated ability to adapt in a fast paced and changing work environment with the ability to prioritize conflicting demands; Ability to meet deadlines
  • Outgoing and adaptable to working in a fast paced and changing environment; able to multi-task
  • Available, resourceful and responsive to the needs of others
  • Excellent verbal and written communication, computer, interpersonal and organization skills
  • Strong computer skills; Experience with Word, Excel. Outlook, Teams, PowerPoint
  • Detail oriented and outstanding organization skills
