  • Financial Advisor Assistant (Unlicensed) _

How does the role impact the organization?

Drawing on industry experience in a financial services firm or previous experience in an administrative role, you will be responsible for providing administrative support to the Financial Advisor team and outstanding service to client.

What will your role be responsible for?

  • Foster and support client relationships by liaising with clients, responding to requests, and solving problems proactively;
  • Maintain excellent client service by efficiently managing incoming and outgoing client calls, providing information and helping to resolve issues;
  • Service clients’ general day-to-day requests;
  • Respond to and follow-up on inquiries from clients and co-workers in a timely and efficient manner;
  • Help prepare documents for client meetings;
  • Manage all necessary documentation for clients and keep up to date with compliance regulations;
  • Prepare, distribute and process client documentation;
  • Be involved in preparing and reviewing daily reports, client correspondence and taking ownership of project work;
  • Communicate internally with various operational and administrative departments;
  • Process and follow-up on security transactions and transfers;
  • Provide seamless service onboarding new clients;
  • Open accounts and manage documentation requirements;
  • Administer the opening of all new accounts and repaper existing accounts, including receive, copy and forward all documents to New
  • Administer and prepare investment performance and tax reporting;
  • Process client requests and follow-up on cheque deposits, account transfers, and RRSP contributions by liaising with Credit, Compliance, RRSP, Mutual Fund or Securities Departments to solve any administrative problems;
  • Act as backup support to Financial Advisor Assistants in the verification of daily activity in accounts and review of previous day’s transactions (trades, debits, transfers, errors);
  • Operate, update, and maintain the Customer Relationship Management (CRM) software;
  • Generate mailing lists and administer mass mailing efforts;
  • Handle quarterly mailings to clients & prospects;
  • Manage & maintain prospect database and marketing materials;
  • Assist in implementing marketing ideas such as newsletters, client cards, seminars and other client events;
  • Edit and distribute client communications and marketing materials; and
  • Maintain and improve the team website and all social media profiles.

Qualifications - External

What do we expect from you?

  • Knowledge of fundamental investment concepts, practices, and procedures used in the securities industry;
  • Previous experience in administrative processes and procedures, including opening accounts, RRSPs, TFSAs, and corporate accounts;
  • Competent in compliance practices and regulations;
  • Previous experience in personal tax filing;
  • Skilled in Social media (eg. Facebook, Twitter, LinkedIn, blog posts, etc.)
  • CRM (Customer Relationship Management) software and maintaining/improving CRM databases is an asset;
  • Experiences using online marketing tools including Google analytics, website assets, and SEO is an asset;
  • The ability to work within deadlines in a high-volume and demanding environment while maintaining a high level of service and an imperative attention to detail;
  • Act as a proactive self-starter with a 'can do' attitude and genuine commitment to client service;
  • Exercise tact and discretion in the handling of confidential information; and
  • Communicate proficiently in French is an asset.

Educational/Previous Experience Requirements

  • A post-secondary education;
  • A minimum 2 years of administrative or investment industry experience; or
  • An equivalent combination of experience and education.
