Executive Assistant

Our client, in the education sector, is seeking a highly organized and proactive Executive Assistant to provide essential support to their 4 VPs.

This is an 3-month contract with possibility of extension. This position is mainly on-site in New Westminster, BC.

This role requires exceptional administrative skills, attention to detail, and the ability to work collaboratively in a dynamic environment.

Roles and Responsibilities

  • Efficiently schedule and manage the executive's calendar.
  • Gather and prepare information, presentations, reports, and documentation.
  • Prepare meeting materials and conduct research as needed.
  • Compose reports and documents for various audiences.
  • Facilitate onboarding and orientation for direct report hires.
  • Cultivate relationships with external stakeholders.
  • Handle approvals on behalf of the President.
  • Organize events on behalf of the President.
  • Develop and maintain annual work schedules for the board and committees.
  • Coordinate new employee orientation.
  • Manage the board's budget.
  • Provide secretarial and administrative support to the Board and its committees.
  • Maintain official records and documents.
  • Coordinate with leadership to ensure timely input to committees and the Board.
  • Revise and publish documents.
  • Manage calendars for events and meetings.
  • Offer support to individual executives as required.
  • Assist in preparing recurring Executive Committee agendas.
  • Initiate follow-up actions from meetings.
  • Assist in report and presentation preparation.

Qualifications and Skills

  • Proven experience as an Executive Assistant or similar role supporting senior leadership.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and calendar management software.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong research and report-writing abilities.
  • Exceptional problem-solving skills and attention to detail.
  • Ability to work effectively in a fast-paced environment.
  • Strong interpersonal skills for building relationships with internal and external stakeholders.

Education

  • Bachelor's degree in Business Administration, Public Administration, or a related field preferred.
