Position Overview

As the Operations Manager at Served Catering, you will play a pivotal role in the success of our operations. Your primary responsibility is to facilitate seamless communication between the sales, culinary, and event management teams. You will ensure the accurate timing, production, and fulfillment of all daily orders, including last-minute needs, in an efficient and supportive manner for the entire team.

Key Responsibilities:

- Coordinate closely with sales, culinary, and event management teams to ensure accurate order processing.

- Oversee daily production schedules, ensuring timely and efficient delivery of catering orders.

- Respond effectively to last-minute requests, adapting operations to meet dynamic client needs.

- Foster a collaborative and supportive work environment among team members.

- Implement and improve operational processes to enhance efficiency.

- Maintain open communication channels to address and resolve operational challenges.

- Uphold the company's commitment to excellence and high-quality service.

Client Relations:

- Nurture existing client relationships.

- Respond to all existing clients in a timely manner (24 Hours).

- Prepare quotes for clients using TPP software.

- Acquire clear rental needs from the client and obtain rental quotes from various suppliers if needed.

- Carry out site visits when needed.

- Host tastings when needed.

- Manage the quoting process until completion.

Business Development:

- Prospect potential clients and turn them into new business opportunities.

- Attend business networking and public events related to potential business opportunities.

Event Management:

- Coordinate confirmed quotes with the Sales Manager, Event Coordinators, and Kitchen team to ensure event success.

- Handle on-site client relations for key clients/large events.

- Follow up post-event with the client from each event.

- Be assigned an event to manage on days with multiple events.

Human Resources and Staffing:

- Hire, manage, and train the sales/event coordinator team as needed.

- Build a positive environment within the sales department based on growing sales, workplace enjoyment, and a competitive atmosphere.

- Coordinate staffing needs with the Staffing Agency or hire, manage, and train On-Site Managers, Servers, Bartenders, and Bussers.

- Keep an active roster of skilled staff on the staffing sheet.

- Inspire and motivate the team to be creative, passionate, and productive.

- Handle HR for FOH employees, including hiring, termination, suspensions, and written warnings (Ownership involvement in all terminations).

- Provide ongoing training and development of training materials used in the success of our events.

Financial and Accounting:

- Submit weekly labor for approval and payment.

- Review invoices weekly, cross-checking items such as rentals, staffing, and billing numbers.

- Work with the accounting team to ensure invoices are entered, labor is entered, and the business is in good standing.

Event Logistics:

- Ensure all events are correctly staffed or coordinate with the staffing agency.

- Liaise with clients regarding the operational requirements of their event.

- Ensure happiness of each client at onsite events through a high level of product delivery.

- Attend events with special requirements, identified key clients, or events over $5,000.

- Ensure catering trucks, people, and equipment are operating on time.

Office Management:

- Set the tone in the office environment and be the leader.

- Maintain and upkeep all SERVED assets.

- Manage office environment and cleanliness, including couriers, office supplies, and sensitive materials.

- Ensure someone is always in the office to answer phones.

- Manage office-based sales software such as Total Party Planner.

Other:

- Oversee kitchen and chef positions, upholding company standards.

- Handle social media – Instagram & Facebook posts, pictures, stories.

- Work closely with Ownership to ensure the success of events.

- Relay and manage key information and processes in Owner’s absence.

This position reports directly to the Ownership.
