Timber Dental in Drayton Valley is is seeking an office managerwho is an independent leader looking to create a lasting positive impact on their patients and their team. The Office Manager will be responsible for supervising staff, managing financial operations, and ensuring efficient utilization of resources.

OPERATIONS MANAGER (Office Manager) RESPONSIBILITIES :

  • Administrative Management :

  • Maximizing profitability through efficient operation while still maintaining our Mission Statement

  • Supervise and coordinate the day-to-day operations of the dental office

  • Implement office policies and procedures to ensure efficiency and compliance with regulations.

  • Manage office budgets, expenses, and financial transactions to identify where to save money.

  • Liaison for dental supply reps

  • KPI update and analysis

  • EBITDA tracking

  • Supply the Director of Operations with monthly reports

  • Staff Management :

  • Recruit, train, and supervise dentists, administrative staff, dental assistants, and receptionists.

  • Schedule staff shifts, assignments, and vacations to ensure adequate coverage.

  • Point of contact for requested time off (sick and vacation)

  • Host team meetings and plan team events

  • Patient Relations :

  • Handle patient complaints and concerns promptly and professionally.

  • Ensure a welcoming and comfortable environment for patients in the waiting area and throughout their visit.

  • Community initiatives

  • Record Keeping and Compliance :

  • Ensure compliance with healthcare regulations, including HIA

  • Monitor and update office protocols to reflect changes in regulations or best practices.

  • Inventory and Supplies Management :

  • Monitor inventory levels of dental supplies and equipment

  • Coordinate ordering and restocking of supplies to ensure smooth operations

  • Manage relationships with vendors and negotiate contracts for supplies and services.

  • Technology Management :

  • Train staff on the use of software and other office technology.

  • Stay informed about advancements in dental technology and recommend upgrades or improvements as needed.

  • IT liaison

  • Human Resources Management :

  • Lead the team effectively through strong communication, creativity and positivity

  • Scheduling department, month-end, and 1-on-1 meetings

  • Send and analyze team engagement surveys

  • Resource for the team to discuss ideas or problems

  • Conduct performance evaluations and provide feedback and coaching to staff members.

  • Payroll

  • Hiring and recruiting new team members

Experience :

  • Dental experience required (admin or clinical)
  • Excellent organizational and multitasking skills
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment
  • Exceptional communication and interpersonal skills
