Important Company is currently recruiting for one, full time, 40 hours weekly, Volunteer Services Administrator to join our head office in, AB.
You will be joining an established Agency that is guided by faith to care for and bring hope to people in need with humility, compassion and respect. With more than 50 years of service delivery, Important Company is one of the largest multi-function social services agencies in Canada, with more than 1600 staff, and hundreds of volunteers delivering 130+ programs throughout and Central Alberta.
Job Summary: The Volunteer Services Administrator works within the Volunteer Services area to ensure quality management and coordination of volunteer activities for Important Company. This role implements and oversees the Agency Volunteer Process.
Reporting to the Volunteer Services Manager, the Volunteer Services Administrator works collaboratively with Agency staff to develop, implement and evaluate a comprehensive volunteer program to meet the needs of each Service area. Utilizing best practices, the Volunteer Services Administrator will ensure all work is approached in a service-oriented manner in accordance with appropriate procedures and organizational standards of excellence.
Job Duties
Primary job duties include but are not limited to: Key Accountabilities
Demonstrate leadership in fostering an organizational environment where volunteers are valued, supported and recognized appropriately for their contribution
Implement and oversee the Agency Volunteer Management system including recruitment, screening, onboarding, training, engagement and recognition utilizing best practice
Maintain policies and systems to ensure effective volunteer management and supervision of volunteers
Educate staff members on the Agency Volunteer policy and practice
Demonstrate an understanding of the current trends and influences in volunteerism
Evaluate Service area volunteer needs on a regular, ongoing basis
Complete other duties as assigned
Volunteer Management
Review, approve and post volunteer roles on CSS website and external recruitment boards
Supervise volunteers and provide support for all Agency staff who oversee volunteers
Review requisitions, analyze Agency/environmental needs, and write job descriptions for volunteers
Establish and maintain relationships with colleagues to share and implement best practices
Provide consultation and facilitate training to support all staff working with volunteers
Maintain volunteer records in an accurate and confidential manner, including use of Agency Volunteer databases
Assist staff to understand effective documentation, support and management of their volunteer personnel
Complete monthly reporting on referrals, contacts and statistics
Collect volunteer feedback andcomplete reporting
Prepare and update materials to share with the services handbook, screening packages, etc.
Monitor referrals and follow-up on a monthly basis for any outstanding contacts to be made
Assist with maintaining volunteer records, including records retention
Volunteer Engagement
Represent the Agency at volunteer fairs and other recruitment activities
Increase visibility in the community by attending various events
Attract and retain volunteers whose interests and values match those of the Agency
Maintain membership with key community contacts and networks, and actively attend and participate in sector meetings and workshops
Manage group volunteer requests
Special Events
Support the planning and coordination of details associated with volunteer event planning when required
Oversee and support the online registration of volunteers to fill all required shifts with appropriate screening completed
Requirements : Experience and Education: Diploma/Degree in Volunteer Management, human services or equivalent
Minimum 5 years? experience in recruiting, screening and managing volunteers
Skills and Abilities: Proficiency in Microsoft Word, Excel, PowerPoint and database management
Valid driver? s license and vehicle that enables you to attend meetings and events is required
Proven problem-solving and advocacy skills with the ability to visualize and deliver creative solutions
Superior written and verbal communication skills in English, including the ability to create communication appropriate for the audience individual and group-based
Facilitation skills: able to make presentations and facilitate workshops
Networking skills and resourcefulness: ability to connect, with community organizations and Service partners
Computer and office skills: Collaborative skills: willingness to work as a team member, consulting and sharing information with colleagues and community partners, and contributing to the development and evaluation of programs
Ability to multitask, establish priorities, take initiative, attention to detail, and work effectively independently
Exhibit high standard of professional boundaries
