Summary : This position is responsible for accurately processing the organization's payroll in a unionized environment. Accountabilities include the full-cycle activities of the payroll function, including accounting, journal entries and reconciliations while ensuring compliance with company policy, collective agreement, and Government legislation. This position is accountable for working with the benefits provider to administer and process employee benefits. The working environment is fast paced with deadline-driven tasks. The incumbent must have a high level of discretion in handling confidential information and manage multiple items at once and prioritize tasks. The position also entails accounts receivables and cross functional duties of accounts payables and Human Resources as back up.

Accountabilities : Payroll

  • Process Weekly Ontario payroll for hourly, salaried employees and contractors using Payworks system, including employee expenses.

  • Prepare and update payroll records with weekly Payroll journal entries to the General Ledger.

  • Ensure the accuracy of payroll earnings and deductions are in compliance with the company policies, employment contracts and regulations.

  • Swipe record review or update.

  • Set up new employees in the payroll system.

  • Process and calculate termination payments.

  • Communicate (written and verbal) with all appropriate

  • Act as first point of contact for all payroll inquiries and requests - resolve any payroll discrepancies.

  • parties’ payroll related information and inquiries.

  • Calculate, complete, balance and remit all transactions related to third party payments of family support deductions, garnishments, unions, Sun-life pension payments etc., to meet regulatory compliance to ensure accurate remittance to governments and vendors.

  • Administer and maintain company pension plan.

  • Prepare and process monthly pension plan voluntary and company contributions.

  • Preparing various payroll reports for both internal and external stakeholders and distributing them in a timely manner.

  • Periodical Payroll and other account reconciliations.

  • Payroll year-end processes, T4’s, and annual reconciliations for various Federal and Provincial agencies.

  • Process Record of Employments (ROE), and T4 amendments.

  • Maintain up to date knowledge of the collective agreement.

  • Maintain payroll records for SR&ED, Apprenticeship Hours and other payroll reporting duties as assigned. Benefit Administration :

  • Process benefit enrolments, updates and any other relevant documents.

  • Ensure information is updated and reflects organizational and employee changes.

  • Managing leaves, including maternity, parental, sort-term and long-term disability. HR Backup/Support :

  • Cross-train with Human Resources Generalist on duties and accountabilities

  • Act as backup and support to the Human Resources department and preform tasks as directed.

  • Assist with the recruitment process as required.

  • Provide organizational admin support Key Competencies :

  • Strong knowledge of Odyssey or ERP software with minimum 3 years of experience.

  • Strong knowledge of payroll legislation, accounting practices and principles, and compliance.

  • Ability to deal with confidential and sensitive information in a diplomatic and tactful manner.

  • Excellent organizational and time management skills.

  • Strong analytic & problem-solving skills.

  • Excellent customer service skills with ability to deal effectively with external customers and all levels of staff,

  • Excellent communication skills both verbal and written.

  • Knowledge of journals and general ledger (GL).

  • Excellent interpersonal communication and relationship-building skills.

  • Demonstrated proficiency in Microsoft Excel including Microsoft Office 360.

  • Demonstrated ability to work both independently and as a team player.

  • Accuracy and attention to detail while working under tight deadlines.

  • Ability to follow through, multitask, process high volume of transactions, and meet deadlines.

  • Ability to interpret and implement company policies and procedures. Education/Experience :

  • PCP Designation with the Canadian Payroll Association and Accounting Diploma.

  • Knowledge of processing payroll through Payworks Canada would be an asset.

  • Educational or practical Human Resource experience preferred.
