Position Title: Office Administrator

Schedule : Tuesday - Saturday

Location: Saanichton, BC, V8M 1Z7

Starting Minimum :$19/hour

Job Type :Full Time Permanent

Position Summary : The Office Administrator will be responsible for ensuring smooth operations within the branch. Your primary responsibilities will include managing incoming calls, coordinating logistics, maintaining a well-organized filing system, and supporting various administrative tasks. This role requires strong attention to detail, organizational skills, and proficiency in Microsoft Excel.

Key Responsibilities : Reporting to the Credit and Administration manager or designate, the Office administrator will be responsible for.

  • Answering incoming calls and directing them to the appropriate personnel.
  • Entering intercompany orders accurately and in a timely manner.
  • Coordinating warehouse releases and managing freight logistics.
  • Scanning and maintaining organized filing system for documents.
  • Preparing paperwork for shipping and logistics processes.
  • Ordering non-product items as needed.
  • Promptly notifying relevant personnel of any shortages or delays.
  • Inputting credits accurately into the system.
  • Maintaining cleanliness and organization of the office space.
  • Additional duties as assigned.

Qualifications and Skills :

  • Customer service experience and the ability to exercise good judgment in dealing with customer-related issues.
  • Ability to communicate effectively with clients, customers, colleagues, and staff.
  • Ability to prioritize and organize.
  • Strong attention to detail including high level of accuracy and speed with data entry.
  • Basic knowledge of Accounts Receivables and Accounts Payable would be considered an asset.
