Administrative Assistant /Project coordinator

Company specializing in the field of industrial valves, located in Ville Saint-Laurent is currently looking for an administrative assistant / project coordinator, reporting directly to the senior partner and of the major accounts director, his/her role will be to carry out coordination tasks between the client's needs and requests and internal resources. Permanent Position 100% face-to-face Location: Ville Saint-Laurent, Quebec Salary: $55,000 - $60,000 per year Annual bonus Social benefits after 3 months Schedule of 37.5 hrs/week Monday to Friday i from 7:00 a.m. to 4:00 p.m. or 8:00 a.m. to 4:30 p.m. 8:30 a.m. to 5:00 p.m. 3 weeks vacation Well established and solid company Great team atmosphere Opportunity for advancement Parking available This is what your day will look like as an administrative assistant / project coordinator: • Support project department to manage the flow of documentation • Collaborate with the sales team and expediting department. • Represent the company in a professional and diligent manner while building relationships with clients, suppliers, outside sales team and head office personnel. • Enter customer orders and supplier purchase orders in a timely and accurate fashion. • Manage large project files comprised of customer orders, suppliers’ orders, technical specifications, plan drawings, and submittal documentation. • Work with company ERP system (Fidelio). Training will be provided. • Effectively communicate in writing and speaking with customers (primarily in French), and with suppliers (primarily in English). • Create submittal documentation packages primarily in pdf format to be issued to customer for the approval. Documentation submittal packages are assembled from multiple sources (ex: internet, suppliers, internally stored documents) • Manage documentation submittal packages across multiple projects simultaneously. • Validate customer and supplier orders for accuracy. • Participate in sales and project meetings as required. • Participate in vendor training sessions as required. Qualifications : • Bilingual in French and Englsih verbaly and writtem -Good knowledge of Word, Excel , Fidelio ( asset ) • Readily assess work load and prioritize tasks to accomplish. •• Demonstrate effective time management. •• Demonstrate ability to work under pressure to meet project deadlines. • Team oriented • • Knowledge of mechanical valves, actuation, and controls is a bonus, but not a requirement.
