Personal Executive Assistant, Treliving Management

Looking for a unique and exciting role? Treliving Management Services Ltd. is currently recruiting for a Personal Executive Assistant to join our amazing team.

What you do : In this role, you will be expected to:

  • Administrative support including any confidential matters and correspondence, which requires professionalism and the ability to handle sensitive material. Must be able to predict when such correspondence will be needed and prepare proactively where possible.
  • Coordinating travel, including booking flights, accommodations, transportation, meeting locations, and scheduling travel itineraries.
  • Scheduling, coordinating, and attending meetings and preparing minutes as required.
  • Managing calendars, including scheduling meetings, tracking invites, booking personal appointments, and responding to RSVPs.
  • Completing membership and subscription renewals for various organizations and associations, registering for events/conferences, and responding to invitations for receptions, parties, workshops, and presentations.
  • Handling incoming and outgoing mail and courier deliveries, and ensuring all communication are handled in a timely and professional manner.
  • Maintaining files of all executive documents including correspondence, itineraries, meetings, either in personal files in conjunction with Human Resources, or in the central filing system.
  • Reconciling a high volume of credit card expense reports, verifying, and paying bills and invoices. incl. maintaining and making payments for personal accounts (car / home insurance, cell phones, internet / tv provider, home repair and maintenance);
  • Coordinating of household operations including home maintenance, renovation, or other projects
  • Undertaking local errands and purchases;
  • Other duties as required; support and work with other Treliving Management Services and Boston Pizza Executives and Executive Assistants as required.

Who you are :

  • You have at least 5 years of executive or personal assistant experience;
  • You may have Diploma in Administration or related education;
  • You have intermediate knowledge in Microsoft Word, Excel, and PowerPoint;
  • You have a valid BC Drivers license;
  • You have a high level of integrity and the ability to keep matters confidential and private;
  • You have a strong work ethic and the ability to work flexible hours;
  • You are detail oriented, with strong organizational and time management skills;
  • You have strong communication skills (verbal, written and presentation);
