We pride ourselves in being a top-tier HVAC solutions provider, promoting high-level customer service and industry-leading technological assistance.Olympic International Service#143 1855 Kirschner RoadKelowna, BC V1Y 4N7 Role Overview: The Service Coordinator role is the primary point of contact for our employees and customers. As a central point of communication, the position requires strong organizational and communication skills, but also exceptional attention to detail. We are looking for someone with a positive, outgoing, and professional can-do attitude. The Service Coordinator performs a variety of administrative and clerical duties, coordinates a range of day-to-day business operations, and managerial services or office duties. Essential part of the job will be dispatching technicians to the job sites and coordinate activities according to work orders or client requests. Responsibilities: The following is a list of the essential duties and responsibilities of this role. The tasks and time spent performing each task may vary as business needs require. Olympic International maintains the right to modify job duties and responsibilities at its discretion. The range of specific responsibilities will include but not be limited to the following: Handling front-line customer calls and service inquiries.Dispatching Service Technicians with the necessary parts to perform the job.Staying in touch with Technicians on the job, answering questions, and solving problems, including tracking parts, staying within service limits, and obtaining appropriate customer approval.Optimizing resource utilization by coordinating multiple service requests and prioritizing tasks based on urgency and customer requirements, following up with customers to meet their service resolution process.Reviewing schedule requisitions, distances, personnel availability, and other pertinent information to minimize operating costs and time-efficiency.Anticipating and planning for increases/decreases in service volumes, shifting resources in response to seasonal and other fluctuations.Recording and distributing information to appropriate departments, including site information, service issues, sales opportunities, dispatch activities, and workplace safety issues in our internal systems.Coordinating office and warehouse activities, managing shipments, inventory, and office supplies.Maintaining job and administrative files, formatting reports, managing work reports, and taking meeting minutes.Managing Technicians and fleet maintenance schedules.Providing scheduling and logistical support for meetings, events, travel, field schedules, and reservation arrangements.Fulfilling additional responsibilities as assigned. Skills and Competencies: Required Strong MS Office skills, computer literacyExceptional communication skills, both written and verbalAbility to work independently and/or in team under minimal supervisionAbility to own the roleProven ability to multitask, stay organized in a fast-paced dynamic environment, and follow through with deadlinesStrong organizational, time management, and prioritization skills, including personal agility and attention to detailThe ideal candidate will be a highly motivated, energetic, collaborative individual with strong customer service skills and a ‘can-do’ attitude, team player, and problem solver. Educational Requirements: Education, Licenses and/or Certification, Experience Required Minimum 2-3 years of administrative experience; experience in an HVAC environment is considered an asset.Proven (1 year+) experience in service coordination, scheduling, or dispatching roles, preferably in a technical or field service environment.
