The Municipality of Chatham-Kent has an opening for a temporary full-time Court Assistant in the Provincial Offences Court division. This temporary full-time opportunity is for a period up to June 2024.

Job description

The Court Assistant performs the general court administration responsibilities for the Ontario Court of Justice - Provincial Offences Court in Chatham-Kent, including assisting at the counter, acting as a cashier, processing payments, answering public inquiries, input tickets to computer database, process incoming mail, process Fail to Respond dockets, provide clerical support to the Court Manager and the Prosecutor.

Essential responsibilities

Demonstrate Chatham-Kent’s core values and competencies

Provide general administrative and office duties for Manager, POC, and Prosecutor

Provide administrative and clerical support for the Ontario Court of Justice, Provincial Offences Court and Manager

Data entry of Part I tickets, Part II parking tickets, Part III Information, request for trials, motions, re-openings, appeals, and requests for extension of time to pay into the provincial Integrated Court Offences Network computer system and CAMS (Case Administration Management System)

Accepting and processing payments, balancing at the end of each day, researching offence details on ICON and CAMS

Prepare and update Fail to Respond dockets

Provide legislative information, and assist defendants in completion of proper documentation for various court proceedings

Other tasks as assigned (i.e. appeals, parking, INFO : HR data entry, month end and other financial functions like deposits, etc.)

Act as a Commissioner of Oaths, as required

Essential qualifications

College certificate or diploma (preferably in a legal or office administration program), with six 6 months to two (2) years of related experience

Proficiency in communication in the French Language is required Strong computer skills, specifically Microsoft Office (Word, Excel, PowerPoint, Outlook) (or similar software program)

Other qualifications

Court or legal experience

Experience in the following areas : Data entry of parking tickets, motions, re-openings, appeals, request for extension

Researching offence details through ICON and CAMS

Processing Fail to Respond dockets

Acting as a cashier, processing payments

Month end/financial functions

Experience acting as a Commissioner of Oaths

Knowledge of the Provincial Offences Act and associated statutes and rules

Experience working in an environment governed by legislation and legislative rules and regulations

Excellent interpersonal and communication skills, written and verbal Working knowledge of electronic legal research systems, Integrated Court Offences Network (ICON) and CAMS (or other similar program)

Previous office administration/clerical experience an asset (i.e. filing, copying, responding to fax requests and enquiries, processing incoming mail, preparing correspondence, etc.)

Essential physical and/or safety requirements

Walking : frequent walking on level surface (depending upon the assigned task, the amount of walking will vary but may involve walking from your desk location to the front counter; to the copy machine, to the vault. Distance would not exceed 50 feet)

Sitting : constant sitting in a chair (depending upon assigned tasks for the week the majority of the shift could require sitting at desk and computer)

Hands : constant fine finger dexterity (movement), mousing (job requires a great deal of data entry and researching details online)
