Prime Contract and Subcontract Administrator

Role Purpose : Reporting to the Commercial Manager, Prime Contract and Subcontract Administrator, you will assist Project Team with daily administration of project(s) including but not limited to the following: Draft, review and manage contracts with subcontractors, ensuring they meet legal, organizational and project specific requirements .Lead Negotiations efforts with subcontractors regarding terms, scopes, timelines and cost and ensuring favourable terms. Ensure subcontractor compliance with contract terms, including deadlines and regulatory requirement. Develop and maintain strong relationships with subcontractors, acting as primary contract on contract related communications. Drafting Letters to Clients and SubcontractorsDraft, review and negotiate contracts, including construction agreements, subcontracts and change orders. Identify and mitigate risks associated with subcontracting, including delays, non-compliance and cost overruns. Prepare and update Change logs Negotiation of Change Orders and Change Notices with subcontractors Maintain comprehensive records of all subcontractor agreements, correspondence and performance evaluations. Work closely with project team and other stakeholders ensure subcontract activity align with overall project goals and timelines Ordering & reviewing bonds and insurances Estimating assistance with data entry/sub and supplier quote orders Preparing project start-up and close-out documents, meetings and files Maintaining estimating, variations, contract and subcontract database Lead prime contract and subcontract payments with CA as well as subcontractors. Leading commercial nature meetings and provide meeting agendas, prepare the meeting of minutes for the administration of the Contracts Prepare reports and maintain documentation related to contract administration Collaborate with legal counsel when necessary to address complex contract issues. Other administrative duties as required. Position Requirements : Bachelor’s degree in quantity surveying, construction management, business administration or a related field . 5+ years proven experience as a contracts administrator in the construction industry. Understanding of contract law and construction contracts Experience providing administrative support. Extreme attention to detail Proficient using Microsoft Office suite and contract management software Knowledge of construction practices and terminology. Results-driven with an ability to deliver success in a fast-paced environment. Outcome focused, critical thinker with the ability to analyse and visualize to ensure continuous improvement across our business. Ability to connect and interact with people to seek different perspectives. Superb communication and interpersonal skills Strong ability to effectively prioritize and manage multiple competing priorities.
