Real Estate Administrative Assistant - Ayr Office

Location : Ayr, ON

Job Type : Full-time (35+ hours per week)

Independent Contractor : $20.00-$22.00/hour based on experience

About the Role : We are seeking a proactive and highly organized Real Estate Administrative Assistant to support three busy Realtors in our Ayr office. This role includes a mix of office tasks, client interaction, errand running, and daily workflow management.

Responsibilities :

  • Daily office management including answering phones, greeting walk-ins, maintain cleanliness, and oversee petty cash and office supplies.
  • Manage and schedule showings, process real estate transactions, and ensure paperwork accuracy.
  • Efficiently manage calendars and client databases.
  • Prepare offers, listing contracts, and amendments.
  • Oversee and manage social media advertising, posts, and stories.
  • Coordinate and help execute marketing events.
  • Assist with personal and professional errands such as client gifts, mail collection, and shopping.
  • Support real estate agents with day-to-day tasks.

Requirements :

  • Must possess your own laptop, cellphone, and reliable vehicle.
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Excellent verbal communication and creative writing skills.
  • Proficient in technology (specifically Apple products), social media, Canva or other graphic design tool(s), and MS Office.
  • Previous executive assistant experience is preferred but not required.
  • Experience with MLS/Matrix system, brochure design, and social media advertising is advantageous.
  • Ability to work well in a team and contribute creatively to improve client experiences and operational efficiency.
  • Fluent in English, both spoken and written.
  • Confident and eager to tackle new challenges.
  • Comfortable working with highly creative and less organized individuals.
  • Brings great energy but can remain calm in stressful situations.
  • Strong family values and enjoys interacting with people.
  • Presents a positive image for the office and organization.
  • Ensures deadlines are met and adapts quickly to changing priorities.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.

  • Experience in real estate is beneficial but not mandatory.
