Human Resources Project Manager

JOB SUMMARY:

Reporting to the Senior Director, Systems & Transformations, the HR Project Manager will leverage project management best practices to lead and manage strategic projects in support of HR initiatives to help grow and scale the organization to support the business lines. This includes the use of formal project management expertise and protocols that can be deployed throughout the organization, to initiate, develop and coordinate implementation of new or existing programs, participation in continuous improvement initiatives, integrations, organizational development, streamlining of processes and building efficiencies while balancing multiple projects and tight timelines.

Projects will typically have a cross-functional business focus and this role will work closely to collaborate with internal leaders and subject matter experts to deliver projects that align with the needs of the business. This position will represent or act as a liaison throughout the HR teams to ensure stakeholder involvement and consistent communication of project status and deliverables.

In addition, this role will provide strategic support and work with the CHRO in developing board presentations to support HR initiatives, project requests and creation of grant/award submissions using the people everything and user design methodologies to promote HR goals, as well as support other business areas, as required.

Strategic communications will also be key in this role – centralizing HR comm’s in an efficient and effective manner.

JOB RESPONSIBILITIES:

Project Management

  • Management and oversight of small to large complex, cross-functional HR projects and initiatives
  • Map and Identify alignment opportunities of projects across HR
  • Responsible for understanding the project needs and requirements and working with the business and technical teams to implement the appropriate solution
  • Consult with leadership, team members and key stakeholders to ensure scope is clearly defined, change is managed, communication gaps are minimized, risks and issues are mitigated
  • Development of project charter, inclusive of scope, deliverables, timelines, budget, resourcing requirements, training, and success criteria’s
  • Management of project scope through the maintenance of project and implementation plans and ensuring any changes to scope are documented and approved, including any changes that may impact project budget
  • Tracking and reporting project status and escalation of issues as appropriate to ensure timely resolution
  • Ensuring communication and liaison throughout HR and key stakeholders
  • Ensuring appropriate transition of project to operations, as needed
  • Archiving of project documentation upon project completion
  • Align project timelines to support internal HR and Organizational communication (i.e. identify communication and batching opportunities)

Project Implementation

  • Lead and manage multiple projects simultaneously, representing HR on behalf of the project initiatives
  • Coordinate the development and execution of test plans, test cases, implementation plans, training plans, communication plans, user acceptance testing and user documentation
  • Partners with people operations, business application and digital teams to secure required IT resources and business SMEs; defines project sub-team roles and responsibilities; ensures digital teams and business areas are involved as appropriate
  • Develop strong working relationships with various internal and external business teams,
  • Evaluate the effectiveness of project implementation plans and adjust plans when required

Continuous Improvement Initiatives

  • Research, evaluate, and analyze HR business needs and processes that have a potential impact on operations and creating reports that summarize business or financial data for discussions and strategic recommendations in response
  • Develop tools and best practices for project management and execution
  • Contribute to the development of project management standards, guidelines and tools to ensure cost effectiveness and to gain efficiencies and improved delivery success
  • Consult with business to assist in their understanding and identification of opportunities to use technology to improve their business processes
  • Adapt to changing organizational priorities while being mindful of any decisions that may have impact on projects
  • Determine how results will be measured and complete post-project evaluation to determine how well results were achieved
  • Evaluate the effectiveness of project management processes
  • Solicit customer feedback in order to improve delivery success and efficiencies relating to the implementation of new products
  • Identify improvement areas within project management develop and contribute to improvement initiatives
  • Identify opportunities for improvement and to improve HR processes/approaches to work in an aligned manner, break down silos within the department, etc.

Other Activities

  • Support and coordinate the Board reporting, including data/presentation/briefing note/speaking note materials for CHRO and delegate.
  • In support of HR Transformation, prepare presentation and briefing material for SE Health, Leadership, and internal HR utilization
  • Working with HR Leadership, prepare Change Management related plans, materials, communication strategies, etc.
  • Attend HR Leadership meetings as requested, including preparation of agenda items, taking notes and distributing actions items and follow-ups required
  • Research evidence-based HR best practices, grey-literature, and benchmark data in support of HR project initiatives
  • Write grant and/or award submissions on behalf of the HR department and SE Health as assigned, liaising with HR and organizational SMEs
  • Partner with leaders to assist in the establishment of product management process
  • Promote project management methodologies and protocols across the organization
  • Other duties as assigned

QUALIFICATIONS:

  • Bachelor's degree in Human Resources, Business, Healthcare, Technology or Project Management; PMP certification preferred
  • 5+ years of experience leading projects both in an HR operations and digital setting
  • Experience in effectively managing HR projects and resources (at all levels) in a complex, fast paced environment
  • Strong data analysis skills with a holistic understanding on how the data impacts the organization
  • Proven ability to lead and manage multiple projects/tasks of varying complexity and size, meet deadlines and work well under pressure
  • Strong collaboration, reasoning, negotiation, decision making, and consensus-building skills
  • Proven problem-solving and analytical skills with an ability to approach a problem logically and systematically
  • Excellent interpersonal and communication skills with the ability to communicate at all levels including technical staff and senior leadership
  • Effective presentation skills – must be able to create PowerPoint presentations that tell the right story for the appropriate audience and present ideas in a group setting
  • Superior PowerPoint Skills and intermediate MS Office skills (including Visio and MS Project), and strong competence with learning web-based computer applications, as required
  • A health care background is preferred
  • Previous experience in software training is preferred
