Reports to :Operations Manager

Job Summary

The Project Administrator (Equipment) is responsible for ensuring equipment projects are completed within the identified time, quality, and budget parameters. The Project Administrator will manage schedules, prepare action plans, analyze risks/opportunities, gather necessary resources, and communicate project progress to team members. Additionally, the Project Administrator is expected to work collaboratively, cross-functionally, and cross-geographically with various staff and teams to ensure projects are completed in a satisfactory manner.

Essential Duties

  • Proactively communicate with stakeholders to identify project requirements and objectives
  • Break complex projects into simpler tasks and set appropriate goals and timeframes
  • Create and update project schedules
  • Act as main contact point for all project participants
  • Schedule routine meetings and record project decisions (e.g., next steps, assigned tasks, etc.)
  • Monitor progress of the project and address potential issues
  • Measure and report on project performance to stakeholders
  • Collaborate with other departments and staff to draft and execute budgets for assigned projects
  • Track expenses and predict future costs
  • Prepare and provide documentation to key stakeholders and internal teams
  • Coordinate and implement quality controls designed to ensure deliverables meet client demands
  • Perform other related duties as assigned

  • Capacity to calculate, analyze, and track figures and make competent decisions based on those figures
  • Communication, teamwork, and customer service skills are critical as employee is expected to work directly and indirectly with all levels of employees, customers, and outside vendors
  • Consistently demonstrate a high level of responsibility and accountability in assigned tasks

Education and Experience

  • Bachelor’s degree in Economics, Finance, Computer Science, Business Management or related field; MBA preferred.
  • Additional certification (e.g., PMP/PRINCE2) is a plus
  • Prior experience as a Project Coordinator, Project Administrator, or a similar role preferred
  • Experience with project management software, such as Trello and MS Project, preferred
  • Experience with technical documentation, flowcharts, and schedules preferred

Physical Requirements

  • Consistent walking, talking, hearing, sitting, standing, repetitive motions, movements requiring fine motors skills and visual acuity
  • Rare carrying, reaching, handling, grasping, climbing, pushing, pulling, kneeling, crawling, balancing, stooping
  • Work is typically performed in an office environment though certain tasks/projects may occur outside or in a manufacturing environment
  • Safety glasses, steel/composite toed shoes, and hearing protection when working in manufacturing environment

Driver Requirements

  • This position may require up to 5% travel between location and vendor sites by use of company or personal motor vehicle
  • Must maintain a valid driver’s license, be a minimum of 21 years of age, and ability to hold a minimum personal auto liability insurance limit of $300,000 per accident, $300,000 per uninsured/underinsured motorist, and $100,000 personal property
  • Required to pass MVR check with relevance to Volm Companies Insurance policies
