Major Purpose

Reporting to the Advisor, Monitoring and Evaluation, the Database Coordinator, LLCA is responsible for maintaining program databases, ensuring that they provide up-to-date, relevant information for internal staff and external audiences. The coordinator is responsible for data collection and data management, ensuring data integrity and accuracy in the preparation of reports and presentations for senior leadership, and external audiences. Key duties include reporting on the effectiveness, outcomes, and impact of the program, and ensuring reporting procedures are designed, documented and implemented following sound practices. This includes managing all project data, reviewing information for completeness and accuracy, tracking documents and deadlines, and providing follow-up as needed.

Key Responsibilities

  • Manage and update business processes related to the LLCA databases;
  • Ensure that the databases contain accurate, complete, and up to-date information. Work closely with team members to ensure a high standard of quality control and identifying data inconsistencies or errors for all reporting.
  • Respond to data requests, including complex and multi-layered requests requiring deeper analysis and develop corresponding visual graphic representation to better display information. Supports the development of internal and external-facing presentations.
  • Undertakes the data preparation and analysis, including preparation of graphics and tables for quarterly, annual and other reporting, ensuring accuracy and effective presentation of year-to year and cumulative data.
  • Produces custom and timely reports or contribute data into templates or narratives in response to various needs (e.g. finance/board memo, briefing notes, etc.).
  • Supports the Advisor, M&E to produce managerial reports demonstrating progress against key performance indicators as identified in the Performance Measurement Framework. Produces progress reports, identifying data inconsistencies and potential improvements to data flow.
  • Work to expand the scope of the databases to include information on new data variables and links to other relevant knowledge and carry out searches in the databases to identify trends across various sectors and assess the overall program impact on Canadian municipalities.
  • Contributes suggestions and written content to support process improvements for data collection and reporting workflows, documentations, tools, tables, procedures as needed.
  • Communicate with other teams to collect their feedback and needs on data monitoring
