Your Position & How You Will Contribute : Based in York Region in a hybrid working environment - Reporting to the Senior Manager, Project Management, the Project Coordinator will be highly organized and motivated with a strong background in project coordination, excellent communication skills, and the ability to manage multiple tasks and relationships effectively. This role is critical in ensuring that our projects are completed on time, within scope, and with the highest quality standards. You will have both administrative and strategic responsibilities, helping the team to plan and deliver on important functions. You will be supporting various projects as we expand our business operations from our HQ, ensuring projects are completed on time, while building relationships through strong communication and according to budget. Responsibilities & Key Duties include : Timeline and Deliverable Management

  • Ensure project teams adhere to provided timelines and deliverables.
  • Monitor project schedules and milestones to ensure deadlines are met.

Documentation Maintenance:

  • Maintain comprehensive project documentation throughout the project lifecycle.
  • Ensure all documents are updated, organized, and accessible to the team.

Stakeholder Communication:

  • Communicate project plans, actions, risks, and issues with key stakeholders regularly.
  • Prepare and distribute status reports and meeting minutes.

Issue Resolution:

  • Identify and solve any issues that may arise during the project.
  • Escalate problems to the Project Manager and propose solutions promptly.

Relationship Management:

  • Manage and build strong relationships with multiple teams and external partners.
  • Facilitate effective collaboration and communication among team members.

Administrative Support

  • Assist the Project Manager with administrative functions and processes.
  • Coordinate meetings, prepare agendas, and follow up on action items.

Daily Operations Management

  • Oversee day-to-day activities for the Project Management team.
  • Ensure the team operates efficiently and effectively.

Data Analysis and Reporting

  • Analyze project data to identify trends, risks, and areas for improvement.
  • Produce detailed progress reports for internal and external stakeholders.

Other Responsibilities

  • Update schedule databases based on daily activity and completed milestones
  • Work with internal departments to track, log and manage all project related data
  • Follow-up daily with project team members on project milestone due dates
  • Create reports for management and submit as required
  • Ensure timelines are in accordance with project schedules
  • Demonstrate a professional working relationship with employees, contractors and clients
  • Perform other related duties as required

Education :

  • Bachelor’s degree in Business Administration, Project Management, Telecommunications or a related field (or equivalent experience).
  • College or University degree in related field or transferrable skills
  • FTTx or HFC Project Coordinator Experience is a bonus

Experience :

  • 2-5 years related experience
  • Strong attention to detail with a high level of accuracy and resourceful mindset
  • Excellent organizational skills
  • Strong time management skills, with the ability to handle multiple on-going priorities
  • Ability to handle confidential and non-routine information with discretion and professionalism
  • Highly professional and diplomatic, with a very positive disposition
  • Strong computer skills, including Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Ability to take initiative and work under pressure with mínimal supervision
