Responsibilities:

As a project coordinator, you will play a pivotal role in overseeing all facets of our construction projects. Your resourcefulness, intelligence, confidence, and dedication will be crucial in ensuring successful project delivery aligned with client goals. You will build strong, trust-based relationships through transparent communication and adherence to our systems and procedures. Key responsibilities include but are not limited to:

  • Collaborate with the Project Manager to devise and execute the Project Plan alongside key team members.
  • Aid in pre-construction planning, covering aspects such as scheduling, health and safety, procurement, logistics, and project execution.
  • Assist in the submission of tender packages and provide recommendations on subcontractors to clients.
  • Support construction administration duties, including contract management, change order processing, issuing PO’s and on-site coordination.
  • Maintain accurate logs and track responses for various project documents, advising the Project Management team accordingly.
  • Prepare necessary documents for subcontracts, change orders, and permit packages.
  • Facilitate communication between subcontractors, construction crews, and office personnel.
  • Manage tender packages and monitor bid submissions.
  • Assist with general tenders including issuing pricing, collecting pricing and submitting bids within time constraints.
  • Coordinate submittals and gather close-out documents, including drawings and warranties.
  • Attend project meetings and record meeting minutes for distribution.
  • Assist in preparing Invitations to Bid and provide input on constructability and specifications for CM Projects.
  • Review plans, specifications, and construction details, determining trade needs and preparing scopes of work.
  • Administer trade contracts, issue purchase orders, change orders, and directives as needed.
  • Monitor quality and safety in collaboration with the Site Superintendent.
  • Assist the Project Manager with financial reconciliations, billing, and change orders.
  • Chair site meetings, prepare reports, and organize post-construction activities.
  • Assist in administrative project setup and document control.
  • Support in obtaining permits and permissions for construction.
  • Work with superintendents to ensure safety, schedule adherence, and quality.
  • Proactively identify and resolve project-related issues.
  • Cultivate strong relationships with clients, consultants, subcontractors, and suppliers.
  • Assist in addressing deficiencies and warranty-related issues.

Qualifications:

  • Minimum 2 years of experience in a similar construction role.
  • Vancouver-market experience
  • Must be comfortable leading meetings, speaking on the phone, being on Teams/Zoom Calls and communicating with clients, landlords, trades, architects, engineers, and consultants.
  • Assist with obtaining all permits and local authority permission to build
  • Good working knowledge of construction methods, materials, procedures, drawings, specifications, and building codes.
  • Assist in completion of deficiencies and issues related to the warranty period
  • Self-motivated, creative thinking, organized, and efficient.
  • Excellent verbal and written English skills, with strong analytical, mathematical, and communication skills.
  • Demonstrated interpersonal, leadership, and team-building skills.
  • Proficient working with technology.
  • Effective time management, organizational, and prioritization skills.
