Key Responsibility Areas:

  • Must have a current and valid driver’s license, and a vehicle and be willing to commute to office located in Lacombe daily
  • Strong organizational skills and experience in a fast-paced administrative role
  • Capable of managing multiple tasks simultaneously
  • Proficient with Microsoft Products
  • Excellent computer skills - experience with E-sign programs (NexOne Sign and Authentisign), Webforms, Pillar9, CRMs, pMicroSoft Office (specifically EXCEL and Word), Adobe is beneficial
  • Comfortable learning new software and technologies
  • Positive attitude and willingness to adapt to change
  • General administrative tasks include scheduling, data entry, client data management, task management, and industry research
  • Booking appointments and tracking confirmations - following up where required
  • Input all administrative tasks, due dates, and deadlines
  • Preparing listing documents and offers using Web Forms / Transaction Desk
  • Data Entry of listings to MLS
  • Build & maintain the Realtor databases with accurate and updated client contact information, birthdates, and appropriate tags for categorization
  • Assist in the development of monthly and quarterly reports utilizing spreadsheets
  • Take the initiative and work with clients, realtors, and suppliers
  • Work independently or as part of a group
  • Manage your schedule and time effectively and be able to work in a fast paced environment down to slower paced and working alone.
  • Accuracy and Attention to detail is key!
  • Assist sales representatives with providing an excellent experience to all walk-in clients
  • Assist sales representatives with preparing agreements of purchase and sale and other sales related documents when required
  • Handle inside and outside requests appropriately and effectively in a timely manner
  • Hard copy filing and e-filing of important documents including, but not limited to, confidential purchaser information and sales documentation
  • Completion of high school and post-Secondary education in Administration or paralegal program preferred
  • Excellent knowledge of excel, word, Microsoft Office software and Microsoft Teams,
  • Critical thinker with strong problem-solving skills is essential!
  • Strong ability to multi-task, and work in a fast-paced ever-changing environment

Education :

  • Secondary School (preferred)

Experience :

  • Administrative assistant: 2 year (preferred)
  • Legal Assistant: 2 year (preferred)

Salary : $25.00-$37.00 per hour

Work Location: In person
