Entrepreneurial to our core, our talented team members transcend obstacles into opportunities and are successfully transforming mid-market business practices.Responsibilities Responsible for all data entry related to producing a schedule for the Assurance, Private Enterprise and Professionals TeamsInput scheduling information into the scheduling toolAssign engagements to individual team members by integrating the workflow management system with the scheduleParticipate in scheduling meetings and follow-up on unresolved issuesUpdate assigned schedules on a daily basisProduce, analyze and distribute weekly utilization reporting to the Partner and Manager group and advise management team of anomalies or trendsProduce ad-hoc reports (ranging in complexity) from our practice management softwareResolve scheduling conflicts with Partners and Managers as necessaryContribute to the development of new ideas and approaches to improve processesProactively building out future schedule by working with Partners and ManagersEnsure that work is allocated evenly among team members and assign work accordingly when continuity on jobs is requiredCommunicate scheduling changes and updates to team membersMotivate others to follow processes and escalate issues/challenges as necessaryImplementation of current and future scheduling policies and proceduresTrack vacation, overtime, and personal days accruedParticipate in weekly scheduling callsMonitoring weekly timesheet entries and clarifying any concerns with team membersConnect with Resource Management team members in other MNP offices to help with staffing needs both local and in other regionsOther duties and ad-hoc projects as assigned by the management team Skills and Experience Completion of related post-secondary education in administration is an asset2-4 years of prior experience as a scheduler, or related administrative experienceExperience in a professional services firm preferredKnowledge of engagement management processes preferredProficient in MS Word, Excel, PowerPoint and Outlook; advanced Excel skills and familiarity with schedule planning or project management systems preferredExcellent communication skills (both oral and written)Ability to confidently connect at all levels in the organization using diplomatic communication, influence and negotiation skillsStrong organizational and time management skillsAbility to manage multiple tasks and leverage strong attention to detailAbility to perform as a self-starter with a high degree of initiativeBeing a flexible team playerThrives in a fast-paced environment and is able to prioritize accordingly
