IATSE is a North American Labor Union, who works in all forms of live theater, motion picture and television production, trade shows and exhibitions, television broadcasting, and concerts as well as the equipment and construction shops that support all these areas of the entertainment industry.

Job title :Administrative Assistant

Reporting to : Membership Services Manager

Hours :Monday to Friday from 9am to 5pm, flexibility to work weekends

Key Responsibilities and Requirements  

  • Follow office workflow procedures to ensure maximum efficiency
  • Coordinate with all departments to ensure appropriate parties are kept in the loop
  • General administrative assistant for Membership services.
  • Provide high quality advice and service to members and permits on a day-to-day basis
  • Assist Admittance Coordinator in scheduling interviews for committee members and President
  • Preparing documents and reviewing registrants for General Membership meeting for President
  • Assist Admittance Coordinator with department specific quizzes and interviews for permits
  • Track new membership paperwork and completing the membership cards
  • Update profiles of members and permits on a day-to-day basis
  • Self-motivated with the ability to identify and resolve problems independently
  • Obtain officer signatures on membership documents in a timely manner
  • Other projects assigned

Qualifications :

  • Completion of post-secondary degree or certification program in related field
  • 2+ years of verifiable administrative experience
  • Able to work in person within our office building Monday to Friday 9:00am to 5:00pm
  • Proficient in Microsoft Office Suites, including Microsoft Excel, Teams and Zoom
  • Strong communication skills needed to work with people in the office and in the field
  • Strong analytical skills needed to trouble shoot and solve problems
  • Deadline-oriented, highly organized self-starter
  • Flexible outlook toward task management
  • Ability to work in a fast-paced, team-oriented environment
  • Strong time and project management skills
