Caradoc Townsend Mutual Insurance Company (CTM) is seeking an Administrative Support person who will report directly to the Corporate Services Team Leader. The position will be based out of our Kilworth office.

Our Corporate Services team is looking to provide excellent customer service and for ways to help our clients better. The Administrative Support person performs a wide variety of administrative duties in our Kilworth office.

Responsibilities will include typical office administrative duties in addition to more complex functions and services. This position plays a crucial role in maintaining our organized and productive office environment. We strive to deliver efficient processes and customer service for all.

What you will do:

  • Review, evaluate and distribute all incoming and outgoing mail, including packages, courier services, and other correspondence
  • Plan and organize team meetings, events and special projects; coordinate catering, room setups and audiovisual equipment as needed
  • Prepare required meeting documents, reports and/or presentations
  • Schedule, coordinate and maintain calendars, appointments, and reservations for the team
  • Arrange travel accommodations including hotel bookings, car rentals and other travel related reservations
  • Receive and post payments in office or via telephone and provide payment receipts
  • Procure and liaise with vendors for organizational needs
  • Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs, in accordance with Company policies
  • Back up support for the Administrative Assistant
  • Facilitate communication and collaboration between departments
  • Other administrative support and duties as assigned.

What you will need:

  • High School Diploma or equivalent
  • Experienced with phone systems & telephone skills
  • Previous experience with Microsoft Office software preferred
  • Ability to Multi-task & Attention to Detail
  • Excellent time management skills and the ability to prioritize work
  • Good listening, verbal and written communication skills
