As the Clinic Office Assistant , you will provide support to our Lead Administrator with reception coverage and client bookings, billings and processing of insurance claims. We are looking for a highly organized and personable administrator with strong work ethic and demonstrated ability to work under pressure and think on your feet. Computer competency is A MUST for this role, as we operate digitally.

Hours of Work - Full Time Permanent position working Monday to Friday, mix of daytime hours and closing hours, and no weekend coverage

JOB DESCRIPTION: Clinic Office Assistant

As a Clinic Office Assistant, you are passionate about your work and perform with a high level of energy, reliability and pride. Clients and coworkers alike look forward to their interactions with you. Your administrative work is thorough, organized and detail-oriented. Your work experience demonstrates success in providing customer service and strong administrative support.

Duties and Responsibilities include (but are not limited to):

  • Work in collaboration with the Office Manager to achieve business outcomes; and support the clinical team and physiotherapists
  • Managing schedules for 8+ practitioners, while being able to coordinate

appointment between multiple providers

  • Greet clients and visitors upon arrival, and provide excellent customer service for

all questions or concerns.

  • Demonstrated strong communication skills with team members and clinicians for
  • Scheduling maintenance
  • Faxing/scanning paperwork
  • Proper new client intake process
  • Register new clients in line with acceptable standards of the clinic; support clients

in filling medical and insurance forms at the clinic to avoid errors and inaccurate information.

  • Exercise client confidentiality at all times and adhering to privacy policy
  • Collect payment at the time of service and follow up on outstanding payments.
  • Complete accurate clinic billing and follow up on accounts receivable as required.
  • Provide accurate daily performance statistics and typing of referral and discharge
  • letters- Produce accurate end-of-day reports.
  • Ensure that the client reception area is cleaned, fully stocked with clinic supplies
  • and materials and daily laundry.- Other administrative tasks as assigned by the Clinic Lead Administrator

Position Qualifications :

  • Must have 1- year experience in Medical Office Administrator or health care field
  • Intermediate/Advanced level proficiency in Microsoft Excel, Outlook and Word is
  • required- Ability to investigate, understand and resolve issues that arise from billing,
  • collections and multiple funding sources.- Ability to exercise good judgement, resourceful, strong organizational skills.
  • Able to adapt to change with clinic operations to continuously learn and strive for
  • improved patient care.- Experience with Practice Perfect or similar EMR is preferred
