We are looking for a resourceful, experienced, and talented Office Manager to help us continue on our growth path. This individual must be a leader and a team player who is ambitious and eager to learn. This is an excellent opportunity for business training, development, and advancement for a forward-minded individual. A great personality the ability to think quickly, and the capacity to work well under tight deadlines are important to success in this role. The position is based in Toronto and is a full-time position with benefits.

What will be your role :

  • Manage the office and our workflow system
  • Preparing and sending out quotes, order confirmations, and invoices to clients
  • Being the first point of contact with customers, responding to questions and inquiries and fielding them to the appropriate sales personnel.
  • Ordering goods, arranging transportation, receiving and organizing shipments.
  • Scheduling and preparing paperwork for outgoing shipments
  • Coordinating with suppliers for purchases, returns, and repairs
  • Prepare, process & coordinate international orders/purchases,
  • Coordinate with accounting on orders, invoices, and payments and some data entry work related to receiving inventory and payments.
  • Dealing with accounts payable and accounts receivable
  • Receiving inventory into the system
  • Helping to update our website and assist in executing marketing campaigns.
  • Collect payments for cash account orders
  • Maintain customer data and update changes to existing accounts in our systems
  • Promoting and organizing customer training classes
  • Organizing customer and internal events
  • Ordering office supplies
  • Implementing corporate sustainability and other policy’s in the organization

Requirements :

  • Analytically minded and process-driven; able to methodically approach and solve complex problems
  • A person with a proactive and self-starter mindset with a “can do” attitude Successful previous experience as office manager.
  • Demonstrated ability to communicate, present and influence credibly and effectively at all levels of the organization
  • Superior organizational skills; integrity and great follow through on tasks, even when multi-tasking. You don’t get overwhelmed easily.
  • Fluent in spoken and written English
