Administrative Assistant, Registration

Full-time Permanent

The Ontario Association of Architects (OAA) is a self-regulating, not-for-profit organization that is governed by the Architects Act , a statute of the Government of Ontario. Its principal object is to regulate the practice of architecture. Position Summary Reporting to the Registrar and with the general guidance from the Administrator Registration, this role will assist with the daily administration of Licensing and Certificate of Practice and liaise with OAA members and applicants regarding the requirements to become an architect licensed to provide or offer services in Ontario.

Responsibilities :

  • Maintain database, input data, run queries and reports
  • Update contact information changes of members and practices in database
  • Coordinate in-person and virtual meetings: schedule meetings, arrange travel and accommodations, order catering, book rooms, prepare agenda and minutes
  • Follow up on outstanding payments for licence and practice renewal fees, and non-compliance fines;
  • Prepare large mailings for member certificates and pins
  • Assist in the administration of the Experience Requirements Committee;
  • Assist with annual Council elections and reporting to Council
  • Assist in the administration of mutual recognition agreements and licence treaties
  • Liaise with internal staff, provincial associations, CACB, NCARB, and others as required
  • Stay up-to-date with changes to licensing and practice requirements in order to relay important information
  • Provide administrative support as needed

Qualifications :

  • Strong administrative skills
  • Effective interpersonal and customer service skills
  • Ability to work in a tight-knit group while still maintaining an independent workload
  • Good computer skills with knowledge of MS Office (Word & Excel) and Outlook
  • Strong organizational skills and detail oriented
  • Superior written and verbal communication skills
  • High school degree or equivalent, post secondary education is preferred
