Position Summary : Reporting to the Manager, International Settlement, the International Student Transition Coordinator works to conceptualize, develop, implement, deliver, and evaluate settlement and transition programming for international students to support a successful start at Seneca and in Canada. The incumbent is responsible for coordinating services and programs offered by Student Services and will serve international students in non-academic functions such as health insurance, housing, orientation, transportation, and programming both virtually and in-person. The incumbent develops materials and sessions to welcome newcomers and help them adapt to life and learning in Canada and will continue to support international students throughout their academic journey, helping them prepare to transition out of Seneca into Canadian society and employment.

Responsibilities : International Student Services Operations

  • Advising international students, addressing issues, and guiding them to appropriate academic or service areas when needed.
  • Managing part-time student staff payroll, including contract creation, HR and Payroll communications, timetable assistance, and liaising with HR for troubleshooting.
  • Training, scheduling, and rescheduling part-time staff for efficient departmental operation.
  • Overseeing International Student Services inboxes, ensuring updated templates, and scheduling staff responses.
  • Researching and providing current resources on transportation, college services, policies, immigration, health insurance, etc.
  • Assisting in the administration of international health insurance, coordinating with students, providers, and healthcare institutions on treatments, claims, and coverage.

Development, Coordination, and Implementation of Orientation, Transition & Retention Programs and Student Activities.

  • Designing, implementing, and assessing orientation, transition, and retention programs fostering student learning, cultural adaptation, social-emotional growth, and community engagement.
  • Researching, creating, and executing transition-focused programming in collaboration with various college programs, spanning all stages of student transitions.
  • Developing and employing innovative strategies to ease the college transition, enhance student retention, and creating learning resources within International Student Services.
  • Coordinating diverse activities for international students, collaborating with college departments, clubs, and associations to integrate them with domestic students.
  • Organizing departmental events, liaising with Marketing and Communications for promotion and logistics.
  • Planning and execute both virtual and on-campus orientation programs each semester for full-time program and English Language Institute (ELI) students.

Transportation & Housing

  • Overseeing airport pickups, housing, and transportation for the department, including:

  • Booking and coordinating airport pickups for arriving international students.

  • Training and scheduling part-time staff for departmental efficiency.

  • Liaising with transportation providers, suggesting improvements, and scheduling vehicles.

  • Designing educational materials on transportation and housing.

  • Guiding students on housing options, addressing inquiries and resolving issues.

  • Participating in Language Canada Homestay program audits.

  • Collaborating with academic and service departments on transportation and housing information.

  • Creating purchase orders and handling payments for housing and transportation providers.

Other Duties as Assigned

  • Addressing diverse requests from arriving international students, including airport issues, hospitalization, doctor visits, and police interactions.
  • Navigating changes in flight schedules and handling situations with detained students at ports of entry.
  • Maintaining constant availability with a carried cell phone for prompt reactions to scheduling changes or emergencies.
  • Acting as the primary contact for international students, assisting with various needs and ensuring a smooth transition.
  • Performing additional duties as needed to support the overall functioning of International Student Services.

Qualifications : Education

  • Minimum completed two (2) year diploma or equivalency in education, public relationships, social work, communication, or closely related field.
