Fleet Vehicles Coordinator

Matix Lumber Inc. is looking for a full-time Fleet Vehicles Coordinator to join our growing team. We are looking for a self-starting, outgoing, and dynamic professional who has a strong mechanical background and who will be responsible for ensuring that all Company equipment (i.e., fleet vehicles, forklifts, trailers, etc.) are maintained and managed with operational excellence.

The Fleet Vehicle Coordinator's responsibilities include :

  • Assisting in the sourcing and reviewing of quotes for the acquisition of Company equipment
  • Managing and monitoring the Company's Fleet Management software (Fleetio) as required for driver compliance (including training); all expenditures/receipts; inspections; repairs; maintenance; and, service reminders
  • Generating reports to document and improve operational requirements
  • Ensuring roadworthiness on all levels (e.g., safety, compliance, registration, etc.)
  • Negotiating optimal pricing for maintenance (both responsive and preventative) by sourcing and reviewing quotes and/or estimates
  • Monitoring, tracking and recording relevant GPS information on vehicles
  • Managing internal and external audits
  • Monitoring and ensuring that DEF, yard fuel tank levels and all related supplies are sufficient to support operational requirements
  • Developing and tracking KPIs to assess performance and identify service improvement and/or cost saving opportunities
  • Pivoting based on operational needs within a fast-paced and ever-changing work environment
  • Other duties/tasks as assigned.

Job Requirements

  • Previous experience managing fleet vehicles and related operational equipment
  • Direct working knowledge of operations, project management, inventory control
  • Proficiency with MS Office (e.g., Excel, Outlook, Word) and fleet management and/or related software
  • Exceptional organizational and multi-tasking skills
  • Strong communication skills (oral, written and listening)
  • Demonstrated commitment to providing customer service with excellence
  • Developed analytical and problem-solving skills as well as a strong understanding of business principles affecting the bottom line
