POSITION

Reporting to the Director of Corporate Services and working closely with various teams, the Special Projects Lead is responsible for project management, coordination, hands-on implementation, execution, and reporting for fixed-term projects across the Alliance for Healthier Communities (Alliance). Projects include a focus on Ontario’s health system, health policy, and health equity policy.

RESPONSIBILITIES

Project Leadership

  • Prepares, manages, and contributes to project plans, schedules, budgets, and resourcing.
  • Coordinates meetings with project teams and relevant stakeholders; organizes meeting logistics, prepares meeting materials, prepares surveys, takes minutes, tracks action items, and conducts follow up.
  • Monitors deliverables against established project goals and timelines.
  • Oversees project operations, this includes but is not limited to coordinating contracts, processing invoices, and participating in selection or procurement processes.
  • Completes project reports within established deadlines.
  • Conducts post-project evaluations as required.
  • Maintains up-to-date electronic project documents and materials for each project team.
  • Provides input to the development of Alliance workplans.

Project Liaison

  • Acts as the first point of contact and builds rapport with project teams, project collaborators and stakeholders.
  • Keeps the project teams, project collaborators and stakeholders informed of project progresses through regular reports and communication.
  • Works with third-party service providers as required and monitors their deliverables.

Project Implementation and Execution

  • Conducts hands-on work to complete project deliverables, this includes but is not limited to research, environmental scans, analysis, gathering feedback, facilitating/ attending meetings, working collaboratively with members, etc.
  • Develops business cases, briefing notes, presentations, tools, and resource documents.

Capacity Building

  • Coordinates and supports various learning events e.g. Community of Practices, Program Learning Events, webinars, etc.
  • Contributes to and supports knowledge translation and exchange initiatives.
  • Contributes to and supports the Alliance Conference.
  • Presents at workshops, webinars and conference presentations as required.

Budget Support

  • Monitors project budgets, exercises controls, and reconciles accounts.
  • Receives, verifies and processes invoices.
  • Tracks expenses against signed contracts and deliverables.

QUALIFICATIONS

  • Undergraduate degree in relevant area of study or equivalent combination of education and experience.
  • Minimum of three (3) years of relevant experience.
  • Previous professional experience in project leadership and project support (e.g. conducting research, environmental scans, analysis, gathering feedback, facilitating/ attending meetings, working collaboratively with members, etc.).
  • Proven project management skills: project planning, monitoring, tracking, reporting.
  • Demonstrated ability to work independently and take initiative.
  • Demonstrated ability to build rapport and effectively work with individuals internal and external to the organization.
  • Proven ability to execute project plans within budget and deadlines.
  • Possess a collaborative spirit with the ability to motivate others to achieve established goals.
  • Excellent communication, interpersonal and organizational skills with strong attention to detail.
  • Strong analytical and critical thinking skills.
  • Effective decision-making skills and follows through with direction.
  • Excellent time management skills with ability to work with multiple priorities and manage several projects simultaneously.
  • Ability to conduct work in keeping with the Alliance’s commitment to anti-oppression, anti-racism (including anti-Black and anti-Indigenous racism), French language services, and to being 2SLGBTQ+ positive.
  • Strong presentation skills an asset.
  • Bilingualism in both English and French an asset.
  • Lived or professional experience working with Black and/or Indigenous communities is an asset.
  • Experience in a non-profit, provincial association is an asset.
  • Experience working within Ontario’s health system, in health policy/ health equity policy, and stakeholder relations are an asset.
