What does your day at GIP look like?

Reporting to the Director, Fleet Safety & Claims, the Administrator will support the Team by providing administrative and support functions. This position supports cross Canada operations and liaises between the Fleet Team, Corporate HSE Team, Legal Team and Operations Teams. This opportunity is ideal for an individual who has CSR/Brokerage or Insurance Claims experience. This role is primarily office based with some occasional field and provincial travel as required. This role will also assist with Fleet Safety, CVOR and NSC duties as required.

  • Various administrative duties specific to Claims and Insurance.
  • Monitoring our insurance claims inbox, setting up claim files in our Flex Manager system, corresponding with claimants via email and phone, drafting claim related documents, updating files as new information presents itself.
  • Reviewing incident reports and flagging those that require an insurance claims investigation.
  • Conducting table-top investigations into claims to determine exposure and liability.
  • Collecting supporting documentation as part of the claim investigation and compiling it in an easy-to-follow package to be passed off to external claims adjusters and internal legal team.
  • Drafting claim denial letters and final release and settlement agreements.
  • Intake of various insurance-related invoices, filing in correct claims files and liaising between accounts payable and insurance broker to ensure payments are made on time and claim files closed out.
  • Intake, tracking and follow up to ensure fleet infractions received by mail are paid for by employees and incident reports completed. Track trends of repeat offenders and escalate to operations for discipline.
  • Intake of various Fleet Safety documents (Policies, Drivers Abstracts, Drivers Licenses, etc.) file on Flex Manager system and manually input data into employee profiles.
  • Monitoring complaints module on Flex Manager, conducting table-top investigations as required and conducting follow-up with operations.
  • Maintain a master employee fleet driver’s license list.
  • Audit data, track trends, and compile detailed reports.
  • Opening submitted claims, updating existing claims and closing out claims.
  • Educating third parties on the claims process.
  • Main point of contact for telephone complaints, investigation using Flex Manager and GeoTab GPS system and communication with operations.
  • Compiling various data into reports and charts.

Enough about us, let’s talk about you.

  • Grade 12 education.
  • Well-developed computer skills.
  • Advanced Excel skills, including using formulas and creating graphs and charts.
  • Excellent email etiquette and proper grammatical form.
  • Experience with GeoTab GPS would be considered an asset.
  • Knowledge of Ontario Traffic Manual Book 7 and Highway Traffic Act would be an asset.
  • Experience with investigations and analyzing information.
  • Results-driven with an ability to deliver success in a fast-paced environment.
  • Exceptional time management and organizational skills.
  • Exceptional communication, both verbal and written.
  • Self-motivated and positive attitude.
  • Strong ability to effectively prioritize and manage multiple competing priorities.
  • Ability to deal with confrontational individuals via telephone and email in a respectful manner.
  • Ability to work efficiently as part of a team as well as independently with minimal supervision and ask questions when unsure.
  • Experience in Insurance Claims or Fleet Safety would be considered an asset.
  • Bilingual in English and French would be considered an asset.
  • Ability to represent the company in a professional and positive manner.
