Job Description For Part Time Office Administrator

Position Title: Part-Time Office Administrator

Hours: 20 hours per week, Tuesday to Friday from 9-2 (Wage based on experience)

Major Responsibilities:

  • To type correspondence, reports, and other parish documents.
  • To prepare weekly newsletter, annual vestry report, monthly calendar.
  • To maintain parish files in good order for easy retrieval.
  • To photocopy documents as needed.
  • To get mail and distribute to appropriate people.
  • To retrieve and copy proper’s (readings).
  • To greet, receive, and relate to members of the parish and public in a spirit that projects a positive image of St. Thomas’ parish.
  • To respond courteously to telephone inquiries and to relay messages correctly.
  • To co-ordinate the scheduling of church rooms for parish or public use, invoicing, and collecting of monies.
  • To maintain adequate office supplies and other church-related materials.
  • To communicate with various groups and committees to get information for the newsletter.
  • To attend Parish Council meetings if required.
  • To perform any other duties assigned by the Incumbent or Wardens.
  • To prepare a weekly PowerPoint presentation and order of service for Sunday services from a template.
  • Send Sunday service info to Lake of Bays.
  • Updates to Website.

Qualifications:

  • Ability to operate office machines, phone system, photocopier, computer, scanner, and printer as well as knowledge of computer software.
  • Ability to type 50 wpm and produce accurate documents.
  • Pleasant personality and phone manner.
  • Knowledge of Anglican tradition and faith as asset but not required.
  • Self-direction and initiative.
  • Ability to communicate clearly.
  • Mature judgement to recognize the confidential and stressful situations under which people seek resources of the church.
  • Ability to be flexible in both hours and tasks.
  • A sense of humor is a must.

Reporting Relationship:

  • The position ultimately reposts to the Incumbent and Wardens. However, on a day-to-day basis, accountability is complex and involves a high degree of self-direction and initiative.

Knowledge and Skills:

  • An operating knowledge of Microsoft Word, Excel, Outlook Express, PowerPoint.
  • Knowledge of parish organization and Anglican traditions is an asset but not required, and an ability to communicate clearly and with discernment are necessary.

Job Type : Part-time

Pay: $18.32-$20.00 per hour
