  • class workplace. This job contributes to Retailors success by supporting the effective delivery of Human Resources programs and services to all employees. This position reports to the Human Resource Manager, and is expected to help support and execute HR programs, and maintain HR policies, procedures, and administrative support across Canada.

Job Summary : As an HR Administrator, you will play a vital role in the HR department by supporting various functions of the human resources department and providing administrative support. Your responsibilities will encompass tasks related to employee onboarding, offboarding, payroll and benefits administration, employee record management, and general HR operations. You will work closely with the HR, Payroll and Operations Teams, and store employees to ensure the smooth operation of HR processes.

Key Responsibilities : HR Support:

  • Acts as a point of contact between stores and the HR department for first-level support inquiries.
  • Triage the HR Canada general mailbox. Address basic employee inquiries and escalate concerns and complex issues to the HR specialist and HR Manager as necessary.
  • Assist the Senior Human Resources Manager or designate in fulfilling projects and assignments that may occasionally arise.
  • Answer and resolve employee inquiries in a responsive, professional manner consistent with our company values and standards.
  • Assist with maintaining the HR Policies and Procedures Manual, Forms, and Occupational Health and Safety Training.
  • Assisting in preparing and distributing HR communications, such as memos and announcements.
  • Support the HR Manager in conducting audits to maintain compliance with internal policies and external regulations.
  • Uphold confidentiality and professionalism in handling sensitive HR information.
  • Assist with HR events, and meetings.
  • Translate HR documents into French.

Record Management:

  • Maintain accurate and confidential employee data, ensuring data integrity and compliance with data protection regulations.
  • Ensures all HRIS and payroll transactions are processed promptly, such as promotions, store transfers and personal information updates.
  • Periodically audit HR and payroll records.
  • Regularly update employment records to reflect changes in employment status, benefits, and personal details.
  • Follow up on missing documents, zero hours report and outstanding signatures.
  • Maintain a secure and organized electronic filing system in our HRIS (Human Resources Information System), payroll system (ADP Workforce Now) and on the network.
  • Maintain a repository of template contracts for different employment scenarios.
  • Process a range of documents including but not limited to; offer letters, addendums, letters of employment, attendance reports, benefits documentation and HR forms.
  • Assist in the administration of employee benefits programs.
  • Collaborate with benefits providers to ensure accurate and timely processing.
  • Support in tracking HR processes such as performance management, salary increases, time tracker, change in position, benefit entitlements, etc.

Recruitment & Onboarding:

  • Support the new hire administrative processes and employee onboarding utilizing the HRIS software to ensure all employees are set up prior to their hire date.
  • Assist with posting job vacancies on various job boards and our company website.
  • Schedule interviews and administer pre-employment checks.
  • Supports the annual updating of onboarding materials to ensure accurate and relevant information.
  • Support with the execution of strategies to attract, retain, and develop top talent, including succession planning and talent management programs.
  • Support communication with external recruitment agencies, job boards, and other talent acquisition channels.

Offboarding:

  • Support with the administrative process related to employee departures and employee offboarding utilizing the HRIS software.
  • Assist in the coordination of the termination process, including preparing termination letters and documentation.
  • Ensure exit interviews are conducted and that relevant feedback is documented and shared with HR management.
  • Collaborate with IT and facilities to manage the return of company property.

  • Assist in the collection and analysis of HR-related data.
